Free vs paid online booking systems: what is the difference, and which should your shop use?

Free options such as Google Forms or an online calendar suit shops with few bookings, but most don't prevent double bookings, send LINE reminders or take deposits. A monthly system pays for itself once it saves just 1–2 no-shows a month, because the income lost to empty slots is usually more than the cost of the system.

The free options most shops start with

  • Taking bookings in LINE or Facebook chat. No cost, but the shop answers every message itself.
  • Google Forms. Customers fill in the day and time they want, but the form doesn't know whether that time is free. The shop has to check and reply.
  • Online appointment calendars. These can show open times, but most aren't built for shops with many services, several staff and services of different lengths.

These work well for a shop that has just opened, or that takes only a few bookings a day.

Limits shops run into with free tools

  • Double bookings. A form keeps accepting requests even when the time is already taken.
  • No LINE reminders. The shop reminds each customer by hand, or not at all.
  • No deposit in the booking flow. You have to ask for a transfer slip in a separate chat.
  • Scattered customer data. It sits across chats, forms and a book, so you can't tell who your regulars are.
  • No shop page on Google. New customers can't see your services, prices and reviews in one place.

How to tell if a paid system is worth it

Start from the income your shop loses every month.

  • One no-show costs the whole slot, for example THB 500 for gel nails or THB 1,200 for a spa treatment.
  • Some customers who message late at night and get a slow reply book somewhere else.
  • Time staff spend stopping work to answer chats is time not earning.

If a system saves 1–2 no-shows a month, it has usually paid for itself, before counting new customers who book outside opening hours.

Which should you choose

Stay with free tools for now if

  • You take only a few bookings a day and the owner can keep up with chats
  • No-shows aren't really a problem yet

Move to a monthly booking system if

  • Answering booking chats is getting in the way of work in the shop
  • Customers miss appointments several times a month
  • You have several staff, or want to take deposits
  • You want new customers to find your shop on Google
